eSmartPayroll provides IRS and State authorized efile for payroll returns. Our services cover many payroll forms and different preparation and filing methods, as well as types of service. The service charges computed based on the forms, methods and services you choose.

• You pay only for what you use. No account or setup fee.
• Volume discount is available.
• You can pick and choose the services you want, including Federal, State filing, print and mail, etc.
• Data can be entered online or uploaded in batch, sent to us by CD in Excel, .txt, XML or other recognizable formats.
• Information is filed to the government electronically where available.
• E-file confirmation status is updated in your account.
• Email notification of the e-file confirmation (though we suggest you check online because email may be unreliable due to email filtering)

Online Preparation and E-File

If you enter the information and prepare forms online, the following price table applies. The price is computed based on forms in the shopping cart upon checkout.

When you prepare the forms online, you will be able to print PDF copies of the forms from your account after you have completed the checkout process. You can save the file or print the copies on plain paper for your record or distribution to the recipient.

If you want us to print and mail the forms, additional charge of $3 per form will apply to cover postage, envelope and labor for processing and handling.

Excel, .txt or Other Data File Upload

If you have a large number of forms to file and you can put the data in a digital format that we can read, we will process and provide efile or print and mail services as required. The data file can be uploaded through secured transaction at our website or sent to us by email or CD with password protection.

When you send us data files in Excel worksheets, .txt, XML or other formats, additional processing and handling charges may be added. However, volume discount is always available.

If you request PDF copies, the large batch may take up to 24 hours to be available for download.

Custom Jobs

If your data file is not in the perfect format (separate out address, city, State, etc.) or you need to retrieve the data from another file (MMREF or EFW2, ICESA, etc.), we can help you to get your data ready for efile.

If you are a tax professional and you want to efile payroll forms for all of your clients conveniently. Whether you have hundreds or thousands of clients, if you can put the data in a digital format, we can probably help you process and efile the forms in batch. We also have simple, standard .txt file format that you can use to prepare forms for multiple companies.

For example, if you can create one file of form 941 data for all of your client companies in .txt format, we can process and efile the form 941s and provide with detailed efile status for each one. We can provide a simple .txt data file format to start. Another example, if your current payroll software generates a XML file of form 941s or DE6s, we can process, efile and provide you with the confirmation.

Print & Mail Service

In additional to efile, if you want us to print and mail W-2 or 1099-misc to the employees or the recipients, a fee of $3 per form will be charged that includes envelopes and stamps. For example, if you send us an Excel worksheet with 90 W-2 forms, the efile, print and mail charge is computed as follows:

efile charge = $5 + $2 x (20-1) + $1 x (50-20) + $0.5 x (90-50) = $93
Processing & handling = $80
Print & mail = $3 x 90 = $270
Total charge = $93 + $80 + $270 = $443
